Creating email templates in Topol PRO is a seamless experience, but it's equally important to keep track of changes and ensure you never lose progress. That’s where Autosave with version history comes in—it helps you maintain efficiency, track revisions, and safeguard your work.
Whether you’re designing a marketing campaign or collaborating with a team, losing your work due to unexpected errors or accidental edits can be frustrating.
Topol PRO’s Autosave with version history feature allows you to:
- Automatically save your progress at regular intervals.
- Track and restore previous versions of your templates.
- Experiment with design without worrying about losing important changes.
A story inspired by real life
Imagine you are working on a new template, which finally appears as you envisioned. For example - something like this:
Naturally, you want to avoid losing hours of progress, so you save the current state of your template by clicking the green Save button (1) in the top left corner. No matter what happens next—whether your computer suddenly crashes or your laptop runs out of battery—the next time you log into your Topol PRO account and open this template, it will look exactly as it did when you saved it.
If you have finished for the day, you can click the area on the right side of this image, marked by three vertical dots (2). This will reveal another button called Save & Close (3), which saves all your progress up to this point and closes the editor as well.
If you choose to continue editing, you will naturally introduce new changes that overwrite the saved version of your template. Eventually, you will reach another checkpoint when you feel satisfied with your new design and decide to press that green Save button once more. Now, your template appears as follows:
But now you realize that the dog is not very amusing, and instead, you would like to create your template about polite cats. After hours of hard work, you end up with this template:
But suddenly, you realize that you have made a grave mistake - you don't like cats at all! What now? Do you have to spend another hour reworking the template back to its original state? Or will you have to start from scratch? Yet, you can hardly remember how it looked before! If only there were a way to travel back in time to the moment when you made that decision...
Version history saves the day
There are two types of saves in Topol PRO: manual saves and autosaves.
Manual saving occurs when you click the Save button manually. You can do this at any time, but keep in mind that a new save will always replace the old one. As a result, you will only retain the most recent version of your template. In other words, manual saving does not allow you to revise or restore previously saved versions, as they are not stored anywhere.
Autosaves are different; they are triggered automatically every minute, with the following exceptions:
Autosave will not trigger if you haven't changed anything in your template during the last minute. Once you edit something, a one-minute timer starts, and all subsequent changes you make to your template within this time window will be saved.
Autosave will not trigger if you saved manually during this one-minute period, as manual saving resets the one-minute timer.
Autosaves completely eliminate the need to track your changes and remember to save manually. They trigger automatically every minute as you work on your template, creating a detailed, minute-by-minute progress timeline.
Timeline of changes
To access the timeline of saves made automatically every minute, click the button next to the Save button labeled Autosaves history (1).
Once you do, a History sidebar will appear, listing all autosaved versions of your template.
Each of your templates has a completely separate history of autosaves, allowing you to access only the versions relevant to the current template. The autosave history also organizes autosaves by the day they were created, making it easier to track progress over longer periods. Autosaves can not be manually deleted and do not have an expiration date, so they will remain available in the template editor until you delete the corresponding template.
Let's look at the timeline. I worked on my template from 15:20 to 15:23, so the autosave triggered every minute. Then, I paused for two minutes before making another change at 15:25, starting a one-minute timer for the autosave. It triggered again at 15:26, capturing all the changes I had made in the previous minute. After that, I paused for a couple of minutes, so the autosaving did not trigger until 15:34, when I changed my template again, triggering the autosave exactly one minute later.
Created with collaboration in mind
In a collaborative environment, you can see who is responsible for each change. In this example, there is only one image and one name because I was the only person creating it. However, when multiple people edit the same template, everyone can see the profile picture and name of the teammate who made the change right next to the time it was made.
Powerful features
Let's explore other features available in the History sidebar. Besides tracking who edited the template and when, you can also display the version of the template as it appeared when the autosave triggered. This can be achieved by clicking on the Preview this version button (2). If I were to click on the autosave created at 15:22, I would see the template as it was at that moment:
This allows you to easily check all previous versions of my template. If you find a specific version you want to revert to, you can simply click the Restore this version button (3). This action will replace the current version of your template with that specific version.
However, all earlier versions remain available (and will always be), so if you are not satisfied with the version you just restored, you can easily choose another version (whether older or newer, it doesn't matter) and restore that one instead.
You can then continue editing this restored template version as if it were the only one. All changes you make to this version will trigger another autosave, saving it to your timeline as the most recent version of your template.
And if you suddenly start liking cats again, simply search for the correct version in the Autosaves history, restore it, and you're good to go!
